We are seeking a People & Culture Coordinator to join our P&C team and play a key role in delivering a positive, organized, and supportive employee experience for over 130 employees across multiple locations. ABOUT THE ROLE
As the People & Culture Coordinator, you will be a trusted, central point of contact for employees and managers throughout the employee lifecycle - from onboarding through changes, development, and offboarding. You will provide hands‑on coordination and administrative support across recruitment, onboarding, HR systems, benefits, payroll support, and employee engagement initiatives. This role is well‑suited for someone who is detail‑oriented, approachable, and enjoys contributing to a values‑driven, not‑for‑profit organization.
WHAT YOU’LL BE DOING
Supporting the Employee Lifecycle
- Coordinate all administrative aspects of the employee lifecycle, including onboarding, role or compensation changes, leaves, and offboarding.
- Prepare and maintain employment agreements, change notices, training certificates, and employment confirmation letters using approved templates and processes.
Creating a Positive Onboarding Experience
- Coordinate and deliver a welcoming onboarding experience for new employees, including HR orientation, documentation, and benefits enrollment.
- Act as a key contact for new hires, helping them feel informed, supported, and connected from day one.
Recruitment & Hiring Support
- Support recruitment activities by posting positions, reviewing applications, conducting pre‑screens and reference checks, and coordinating interviews.
- Maintain organized and accurate recruitment records and support inclusive, equitable hiring practices aligned with McMan’s values.
Benefits & Payroll Support
- Administer group benefits enrollments, updates, and terminations, and work with benefit providers to ensure timely and accurate processing.
- Support payroll by reviewing bi‑weekly payroll registers, identifying discrepancies, and preparing documentation to support reconciliation.
HR Systems, Records & Reporting
- Maintain confidential and accurate employee records across HRIS, payroll, and benefits systems.
- Conduct regular audits of electronic and physical files to ensure compliance and data integrity.
- Prepare headcount reports and other HR metrics for leadership and internal teams as requested.
Employee Support & HR Operations
- Respond to employee inquiries related to benefits, policies, and HR processes, escalating more complex matters as needed.
- Support consistent application of workplace policies in a non‑union environment.
Organizational Initiatives
- Provide coordination and administrative support to committees and initiatives such as DEI, Health & Safety, and employee engagement.
- Assist with annual performance review processes, employee surveys, and People & Culture projects.
- Contribute ideas and support continuous improvement of People & Culture processes and tools.
WHAT WE’RE LOOKING FOR
Education & Experience
- Diploma or Degree in Human Resources, Business Administration, or a related field—or an equivalent combination of education and experience.
- At least two years of experience in an HR or People & Culture coordination or administrative role.
- Experience in a not‑for‑profit, multi‑site, or human services environment is an asset.
- CPHR designation (completed or in progress) is considered an asset.

Technical Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook); intermediate Excel skills are preferred.
- Experience using HRIS, payroll systems, and benefits administration platforms.
- Comfortable learning new systems and adapting to evolving processes.

Salary Range: $40,295.40 - $44,772.60 (based on a 0.6 FTE)
